Knowing all of the employees on your books, the hours they have worked, and the amounts to disburse or withhold is pivotal. While some businesses can afford an in-house payroll department, that can entail several employees working at full capacity, depending on the number of people you employ. If you are the owner of a smaller business and you don’t have a dedicated payroll department in your office, there is good news. There are many payroll providers out there. If you are unhappy with your current payroll provider, here are some easy steps to selecting and switching yours.
Making the Call
Before you change your provider, you need to make your selection. Consider what you are looking for in your payroll provider. You need to approach the relationship knowing all services provided and which of these services you will be utilizing. Are you a technophile who likes pouring over data and comparison reports, or are you more hands-off? Different providers offer different levels of service and have different capabilities. In addition to essential payroll functions, consider if you will be utilizing your providers to help with tax filing or if you will complete that yourself. Once you have decided who you want to use going forward, there are a few steps you must follow to ensure a smooth transition.
Ready, Set, Go!
Before you even start, check your current provider to see what the cancellation policy is. Companies may have a specific clause that details how they should be notified and pertinent timeframes. You may even be under terms of a yearly contract. To be sure you aren’t violating your agreement, you must look over it first. If you can’t find it, request a copy from your current provider. You must also request copies of all payroll reports up to the current one. These actions will ensure that you and your new provider have access to vital financial information, which will include net wages and, most importantly, tax and benefit information related to payroll. Supplying these to your new provider will allow them to start with all of the necessary information. Also, have them provide paystubs as and any other relevant financial information that they may have been keeping on your behalf. Once they have everything they need and are ready to go, set up your first pay date and let your employees know you are switching, so they can make any necessary adjustments. Finally, follow the cancellation procedure of your old payroll provider, and you are good to go!
